Alternative Media Request Procedure

Alternative Media is only provided for students who have this accommodation.  If you feel you qualify for alternative media, please contact the DRC.

Student Responsibilities

It is the student’s responsibility to request alternative media under the following procedures.  Materials may not be available if procedures are not observed.

  • Students who have not met with the Assistive Technology Specialist must schedule an appointment to discuss Alternative Media Request Procedures.  Students only need to meet with the Assistive Technology Specialist at the start of their time at BC, or after prolonged absences from the college.
  • Each quarter, students should register for classes using their Priority Registration status.
  • Immediately after class registration, students should fill out an Alternative Media Request Form.  This form must be filled out each quarter at least 4 weeks in advance of classes starting.  Be sure to check the Bookstore’s website and list all textbook information for each class in the appropriate section of the Alternative Media Request Form.  If a class does not have textbooks listed, contact the instructor and ask for a list as well as the syllabus.  If you do not feel comfortable doing so, please let the DRC know so we can do so.
  • As soon as possible, purchase your textbooks and submit proof of purchase to the DRC.  This is needed in order to abide by the publisher’s copyright law.  You are encouraged but not required to purchase books through the BC Bookstore.  Upon receiving proof of purchase, every effort will be made to acquire materials from campus, publishers, or other resources. Occasionally this is not possible and student textbooks may need to be unbound due to the scanning process. The Disability Resource Center will neatly rebind your text should this be necessary.

Effective Winter 2014!  There will now be follow-up conversations for students who do not submit the Alternative Media Request Form by the deadline.  You can expect the following:

  • The first time a student does not submit the Alternative Media Request Form by the deadline, they will be reminded of the requirement and informed that should this happen again, they will be required to meet with the DRC Director or designee.
  • The second time a student does not submit the Alternative Media Request Form by the deadline, they will be reminded of the requirement and informed the DRC Director or designee will be in touch to set up an appointment.  The DRC Director or designee will email and call the student to set up an appointment.  This appointment will be to discuss why the student is not following DRC procedures.  The DRC Director or designee will work with students whose disability is the cause of not submitting the Alternative Media Request Form to create success strategies for the student to remember to follow procedures.  The student will be informed that if they continue to not submit the Alternative Media Request Form, they may be referred to the Dean of Student Success.
  • The third and any subsequent times a student does not submit the Alternative Media Request Form by the deadline, they will be reminded of the requirement and informed either the DRC Director or designee or the Dean of Student Success will be in touch to set up an appointment.  This appointment will be to discuss why the student is not following DRC procedures.  The DRC Director or designee will continue to work with students whose disability is the cause of not submitting the Alternative Media Request Form.  Others will be referred to the Dean of Student Success.  A disciplinary process may be initiated at the Dean’s discretion.
  • The DRC understands that occasionally the Alternative Media Request Form cannot be filled out completely due to instructors not listing their textbooks and/or not responding to a student’s request for this list.  This will be taken into account when the decision is made to refer the student to the DRC Director or designee.

IMPORTANT!  Whole Books versus Chapter by Chapter.

Because of the large demand for Alternative Media, the DRC may not be able to convert your whole book at one time.  Math, Science and large format books may need to be produced on a chapter by chapter basis. This is why we ask for a syllabus so that we can convert chapters to get them to you by the time you need them for class.

IMPORTANT!  Two Week Limit

The Disability Resource Center will contact the students when materials are completed and ready to be picked up. The DRC will hold completed materials for a two week period after contacting students. If the student does not contact the DRC for pickup all remaining material processing will be put on hold. Students are  then responsible for requesting that the service be reinstated.

IMPORTANT!  Copying Files

I understand that the copying or distribution of files obtained through the Alternative Media program is strictly prohibited and I have only the right to use these electronic files for my own academic access needs.
