{"id":3622,"date":"2017-05-10T06:36:48","date_gmt":"2017-05-10T13:36:48","guid":{"rendered":"http:\/\/www.bellevuecollege.edu\/bcconnect\/?p=3622"},"modified":"2026-01-23T09:43:21","modified_gmt":"2026-01-23T17:43:21","slug":"canvas-sections-merges-are-not-ferpa-compliant","status":"publish","type":"post","link":"https:\/\/www.bellevuecollege.edu\/elearningfaculty\/2017\/05\/10\/canvas-sections-merges-are-not-ferpa-compliant\/","title":{"rendered":"Canvas Section Cross-list\/Merges"},"content":{"rendered":"\n<h2 class=\"wp-block-heading\"><strong>Process<\/strong><\/h2>\n\n\n\n<p>Instructors reach out to their Division Dean, Associate Dean, or Program Chairs to request Cross-List\/Merges with the Primary\/Secondary using their divisions process.&nbsp;<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Division Deans must approve Cross-List\/Merges.\u00a0<\/li>\n\n\n\n<li>Division Operations Directors, DOD&#8217;s initiate Cross-List\/Merge tickets and are instructors first contact for inquiries surrounding their course merges.<\/li>\n<\/ul>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\" \/>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Guidelines<\/strong><\/h2>\n\n\n\n<p>If you have two or more sections cross-listed or merged:&nbsp;<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Your\u00a0<strong>Syllabus<\/strong>\u00a0for the course must mention that students from multiple sections will be in one Canvas online classroom.<\/li>\n\n\n\n<li>You must\u00a0add an\u00a0<strong>Announcement<\/strong>\u00a0in your class so students are aware that two sections have been merged.<\/li>\n\n\n\n<li>Canvas tools (<strong>People, Chat, Collaboration &amp; Conferences<\/strong>) are hidden from Student View.<\/li>\n\n\n\n<li>Change the\u00a0<a href=\"http:\/\/www.bellevuecollege.edu\/elearningfaculty\/section-merge-ferpa-restrictions\/\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>course<\/strong>\u00a0<strong>settings for Discussions, Announcements, and Groups<\/strong>\u00a0<\/a>(Do not allow students to create their own Discussion topics, and Do not allow students to create their own student groups, Disable comments on Announcements)<\/li>\n\n\n\n<li>Sending messages using the&nbsp;<strong>Canvas Inbox<\/strong>&nbsp;\u2013 When composing a message, check the box that says \u201c<strong>send an individual message to each recipient<\/strong>\u201d to prevent students from sending a \u201creply all\u201d response or seeing to whom the message was sent.<\/li>\n<\/ul>\n\n\n\n<p>The Interactive eLearning website has posted the&nbsp;<strong><a href=\"http:\/\/www.bellevuecollege.edu\/elearningfaculty\/section-merge-ferpa-restrictions\/\" target=\"_blank\" rel=\"noreferrer noopener\">FERPA guidelines to be followed for merged sections in Canvas<\/a>.<\/strong> Instructional Designers will be able to assist you in reviewing if the Canvas settings have been updated. Online hours are listed on the <a href=\"https:\/\/www.bellevuecollege.edu\/elearningfaculty\/contact-us\/\">Interactive eLearning department website<\/a>.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\" \/>\n\n\n\n<p>Directive from Academic Affairs on&nbsp;5\/19\/2017<\/p>\n\n\n\n<p>Dear Colleagues,<\/p>\n\n\n\n<p>If you currently merge courses or sections in Canvas, pleases read this entire message very carefully. If you do not currently merge courses in Canvas, this may not apply to you.<\/p>\n\n\n\n<p>In the last six months there has been discussions at the state level if section merges in Canvas are FERPA compliant<strong>.<\/strong>&nbsp; A recent mandate from the Attorney General of Washington State\/Education Division office states that&nbsp;<em><b>Canvas Sections Merges are not FERPA compliant.&nbsp;<\/b><\/em>Due to that mandate the Office of Instruction has decided to put a hold on the section merge\/cross-listing process for all Canvas classes that are not listed as Combined\/Cross-listed sections in the Online Course Catalog until further notice for Summer and Fall 2017 classes.<\/p>\n\n\n\n<p>The mandate from the AG\u2019s office is listed below.<\/p>\n\n\n\n<p><strong><a href=\"https:\/\/www.bellevuecollege.edu\/wp-content\/uploads\/sites\/182\/2017\/05\/CanvasFERPAmemo-WA-AG-March-2017.pdf\" target=\"_blank\" rel=\"noopener noreferrer\">Attorney General of Washington State Education Division mandate for Canvas Section Merge<\/a><\/strong><\/p>\n\n\n\n<p>Each college in the state was asked \u201c<em>to discontinue Merging\/Combining of Canvas sections until each individual college has reviewed their Course Merge policy<\/em>.\u201d<\/p>\n\n\n\n<p>The task force which included Interim VPI Dr. Gita Bangera, Dean of Enrollment &amp; Registrar Services RaeEllen Reas, Dean of Interactive eLearning &amp; Library Dr. Vivienne McClendon, and representation from all the Division Deans have reviewed the merge process and have recommended changes for the course merge process to be in place starting Summer 2017.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\" \/>\n\n\n\n<p>Thank you for your patience in this matter and for all that you do for the students at Bellevue College.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>Process Instructors reach out to their Division Dean, Associate Dean, or Program Chairs to request Cross-List\/Merges with the Primary\/Secondary using their divisions process.&nbsp; Division Deans must approve Cross-List\/Merges.\u00a0 Division Operations Directors, DOD's initiate Cross-List\/Merge tickets and are instructors first contact for inquiries surrounding their course merges.
