6300P Use of College Equipment Off Site (Procedures)

Purpose

In some circumstances it may be necessary for a Bellevue College employee to borrow college equipment to work at home or some other off-campus site in order to complete assignments or carry out college business. In all such cases, authorization is required before the equipment may be taken away from BC facilities and the following procedures must be followed

Procedures

Any administrator, faculty member, or classified employee who needs to borrow college equipment should submit a completed “loan of state-owned equipment to employees” form to the department loaning the equipment. The following information must be provided:

  • employee’s name;
  • division/department/area;
  • description of equipment, including model number, serial number, and Washington state inventory tag number;
  • purpose of the loan;
  • date to be returned.

Both the employee and the supervisor must sign the form. Upon return, the issuing department must initial and date the form and give a copy to the employee.

The loaned equipment is to be used solely for college work. All Bellevue College employees should be aware that state-owned equipment is not to be used for personal or private gain, whether on campus or off, per state ethics laws. Equipment loans must not exceed one (1) year from date of the original loan but may be extended by submitting a new request for “loan of state-owned equipment to employees” form.
