{"id":11,"date":"2010-03-14T20:02:55","date_gmt":"2010-03-15T03:02:55","guid":{"rendered":"http:\/\/bcsustainabilty.wordpress.com\/?p=11"},"modified":"2014-09-25T10:44:53","modified_gmt":"2014-09-25T17:44:53","slug":"pause-the-printing","status":"publish","type":"post","link":"https:\/\/www.bellevuecollege.edu\/sustainability\/2010\/03\/14\/pause-the-printing\/","title":{"rendered":"Pause the Printing"},"content":{"rendered":"<p>I&#8217;ve operated under a personal limited paper use policy for the last couple years.\u00a0I don&#8217;t use much paper and\u00a0most of the paper littering my desk\u00a0 has been given to me from some committee or meeting.\u00a0 It sits in useless piles for a few months until I get up the nerve to use it as scratch paper and finally it is recycled.\u00a0 If it is\u00a0particularly important, its fate is a trip\u00a0through the scanner and then on to the scratch paper bin.\u00a0\u00a0\u00a0After\u00a0a few years practice, I can say with certainty that I don&#8217;t miss paper.\u00a0 In fact, paper makes me nervous.\u00a0 Where do I put it?\u00a0 How will I find it?\u00a0 Do I have room for it?\u00a0How many times should I use it before I recycle it?\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0I like electronic files.\u00a0 They are neat, don&#8217;t\u00a0cause\u00a0clutter, are easy to search for, easy to organize and backing them up does not require\u00a0much\u00a0extra physical space.<\/p>\n<p>So in an effort to help you think about not using paper like I do, here are some methods I use.<\/p>\n<p>1.\u00a0 <strong>Where will this paper end up when I&#8217;m done with it?\u00a0 <\/strong>If the answer is in the garbage or recycle bin, in\u00a0the deep dark dungeon of a\u00a0folder\u00a0or a file cabinet never to be seen again, or on the floor of my car passenger seat, I stop and don&#8217;t print.<\/p>\n<p>2.\u00a0\u00a0<strong>How will\u00a0the paper be used?<\/strong>\u00a0\u00a0\u00a0The only paper\u00a0I print is paper that will be used more than once and in which the content\u00a0on it is worth pinning up next to a computer or\u00a0referring back to every\u00a0now and then.\u00a0\u00a0Believe me, it is uncommon for content to be that important.<\/p>\n<ul>\n<li>I don&#8217;t print out handouts for meetings, they will be filed or end up in the car passenger seat.\u00a0 Instead, an electronic classroom or projector handles these details just fine.\u00a0\u00a0 I post the files on MyBC or email the files out ahead of time\u00a0for personal use as needed.\u00a0\u00a0When attending meetings, I request electronic copies of files and forgo handouts.<\/li>\n<li>For meetings, I don&#8217;t print out agendas.\u00a0 They will be thrown away.\u00a0 Why keep an agenda?\u00a0 If anyone has a good reason, let me know.\u00a0 Really, I don&#8217;t know.\u00a0 The agenda can be projected on screen\u00a0or written on a whiteboard. Done.\u00a0 The agenda is archived in the program MyBC site for future reference as needed.<\/li>\n<li>In the\u00a0classroom, I use the whiteboard for agendas.\u00a0 I teach the students to use USB drives.\u00a0 The projectors display most of the information students need and any handouts can be distributed on MyBC for future use.<\/li>\n<li>I use a netbook\u00a0 connected to campus wireless so I can take my handouts and notes with me everywhere.\u00a0 It is amazing how many times I&#8217;ve been able to recall\u00a0documents\u00a0for\u00a0use from MyBC, email, google some information, or\u00a0recall\u00a0a website or document necessary for the meeting that wasn&#8217;t printed out ahead of time.<\/li>\n<li>A blackberry or email enable\u00a0PDA \u00a0is also a handy device for quickly recalling emails and not printing them out.<\/li>\n<\/ul>\n<p>3.\u00a0 <strong>Do I want to take notes on this?\u00a0 <\/strong>A sticky situation is when I have a document that I want to take notes on.\u00a0 Yes, I still have to fight the urge to print it out and scribble on it.\u00a0 But again, these drafts only end up in the recycle bin, wasted and wasteful.\u00a0 With a little discipline, research and practice, I&#8217;ve found and use many methods to help me.<\/p>\n<ul>\n<li><strong>Track Changes<\/strong>. I use<a title=\"track changes\" href=\"http:\/\/office.microsoft.com\/en-us\/word\/HA012186901033.aspx\"> track changes <\/a>in Microsoft Word to edit Word documents.\u00a0 This handy tool will track all my edits and let me go back over and over through them until the document is perfect.\u00a0 It will let me see the final and drafts simultaneously.\u00a0 It lets me\u00a0accept and reject changes to\u00a0my document as I write and allows me to track\u00a0changes with multiple users.<\/li>\n<li><strong><a title=\"Adobe Acrobat Professional\" href=\"http:\/\/www.adobe.com\/products\/acrobat\/?promoid=DINNW\">Adobe Acrobat <\/a>. <\/strong>Splurging a little on this software allows me to take notes on PDFs in Adobe Reader.\u00a0 I can use digital sticky notes, highlight, copy and paste information and screen shots and generally reorganize the information so that it makes sense to me.\u00a0 I can also print documents to PDF using it.\u00a0 This is a handy way to avoid printing websites or invoices.\u00a0 If the cost is prohibitive a cheaper option is <a title=\"Foxit Reader\" href=\"http:\/\/www.foxitsoftware.com\/pdf\/reader\/\">Foxit Reader\u00a0 <\/a><\/li>\n<li><strong>Rename Documents.<\/strong>\u00a0 If I am trying to classify\u00a0or rate\u00a0documents, like resumes for example in which I need to distinguish those\u00a0to interview and those that I don&#8217;t, I make digital piles by renaming the files.\u00a0 Right click on the file\u00a0and choose rename or just hit F2 on the keyboard, and I simply insert the word YES\u00a0at the\u00a0beginning\u00a0of the file name, MAYBE or NO.\u00a0\u00a0A simple windows sort and I can easily find which candidates to call.<\/li>\n<li><strong>Create Folders and Use Them.<\/strong>\u00a0 File Management is key to successful paperless lifestyle.\u00a0 I suggest a simple start and don&#8217;t be afraid to modify as needed.\u00a0Within\u00a0a Bellevue\u00a0College folder, create\u00a0a \u00a0folder for each class, type of meeting or committee.\u00a0 Within each folder create subfolders\u00a0for each meeting.\u00a0\u00a0Use descriptive file names and\u00a0get familiar with Windows search in case you can&#8217;t remember where you placed that file.<\/li>\n<li><strong>Have a back up plan<\/strong> and regularly back up your files.<\/li>\n<li><strong>Tile Windows.\u00a0 <\/strong>If you have a large screen set at a high resolution\u00a0it is easy to display two windows or applications side by side.\u00a0 This is helpful when you want to compare documents or make notes on one document while reading the other.\u00a0 Just right click on the task bar (the bar at the bottom of the Windows screen) and choose Show Windows Side by Side.<\/li>\n<\/ul>\n<p><strong>What methods do you use to forego printing?\u00a0 <\/strong><\/p>\n<p><em>by Marika
