SURVEY RESULTS

The results of the ctcLink Spring Survey have arrived! Thank you to the 134 staff and faculty that completed the ctcLink survey in June.

The ctcLink leadership team uses your feedback to help manage the “people side” of change. We continuously monitor campus progress regarding awareness, desire, knowledge, and reinforcement – all important success indicators in change management.

General awareness of the ctcLink project in spring was higher compared to the Winter Survey completed in February. This spring, 79% “strongly agreed” they were aware of the college’s ctcLink implementation project compared to 24% in winter.

Alternatively, only 5.5% “strongly disagreed” or “somewhat disagreed” that they had awareness in the spring compared to winter’s response of 24.5%.

Knowledge of the ctcLink system also increased between surveys. In winter, 58% of participants disagreed they had sufficient knowledge of ctcLink. In spring, fewer than 29% disagreed they had sufficient knowledge of ctcLink.

Respondents indicated that improved communication about ctcLink is needed at the department level. The team is taking steps to support supervisors’ efforts to dialogue with staff about ctcLink and
its impact on individual positions. In addition, communication regarding training opportunities and the college’s post- implementation plan are increasing.

Your survey feedback provides insights for improving processes, communications, and decision-making. All these areas will assist the campus in making a smooth transition.

Other important takeaways from the Spring Survey include:

  • More guidance is needed for trainings related to roles (see theweekly ctcLink Coach newsletter for training information)
  • Staff and faculty need help balancing priorities and time (Spring Survey results contributed to leadership decisions on Friday closures, change in performance review deadlines, and return to campus plan)
  • Supervisors require information tools to ensure the campus is prepared
  • Accessibility issues must continue to be proactively addressed
  • The post “go-live plan” must be communicated to the campus community

Efforts will continue to address these and other important issues.

CTCLINK SPOTLIGHT: IULIA ZAVODOV

As a program manager in the Academic Affairs office, Iulia Zavodov’s primary area of concern is the faculty experience. Her goal with ctcLink is to make sure that faculty are comfortable with the transition. Iulia is a testing co-lead, which means she gets previews of the new system. This allows her to provide feedback on what is needed to ensure the system lives up to its potential.

IS CTCLINK A BIG DEAL? IN SHORT: YES!

Adopting ctcLink represents a wholesale transition to a completely new system. This transition catapults Bellevue College forward by decades—much like finally upgrading from a clunky mobile phone to the latest model. “With this system,” says Iulia, “We are entering the 21st century.”

Faculty at other institutions who have adopted ctcLink are pleased with the outcome. They enjoy how everything they need is available now through a single portal. Whether a faculty member needs to check their schedule, enter a grade, access payroll, review tax information, or communicate directly with students – it’s simple affair in ctcLink.

TACKLING COMPLEXITY HEAD-ON

The BC staff has been hard at work preparing the college for the transition. Iulia recalls intense sessions that brought people together from across the institution. These sessions were designed to review all the different business processes that will be impacted by ctcLink. The effort continues with the multiple cycles of the data validation.

This piece of the puzzle is both complex and daunting, but Iulia thinks we’re in good hands. As she puts it, “Everyone is working on building their individual knowledge base, and then we share with our colleagues. Together, we learn and develop a collective knowledge base that will advance us as an institution. In a few months, the transition will be over, and we will begin to realize the advantages of our new environment.”

FRIDAY OFFICE CLOSURES

Keep in mind that many campus offices will be closed to the public on Fridays through Dec. 31. This will allow staff one full day a week with fewer interruptions to complete the necessary work for ctcLink.
