GRADE ROSTERS ARE NOW AVAILABLE
Fall Quarter grade rosters are now available in the ctcLink Faculty Center. Log on at gateway.ctclink.us.
Faculty may make canges to their grade rosters up to December 20. If grade changes need to be made after saving an Approved roster, change the status back to Not Reviewed. This will allow for the necessary grade changes.
Once the grade changes are complete, make certain to change the Approval Status back to Approved before saving. (In fact, remember to click Approved to save all entries.)
To report any difficulty with the process of entering grades or problems with the grading deadline, please reach out to the Faculty Advocates team.
GRADE ENTRY IN CTCLINK
The grading period will begin Monday, Dec. 13 and end on Wednesday, Dec. 20.

Additionally, the Faculty Advocates team will hold grade submission walk-throughs during the following times:
- Dec. 13: 10 – 10:30 a.m., 12 – 12:30 p.m. and 2 – 2:30 p.m.
- Dec. 14: 10 – 10:30 a.m., 12 – 12:30 p.m. and 2 – 2:30 p.m.
- Dec. 20: 10 – 10:30 a.m., 12 – 12:30 p.m. and 2 – 2:30 p.m.

HELPING STUDENTS WITH PERMISSION
NUMBERS & ENROLLMENT
Students may request permission numbers beginning Dec. 27-30. There are few things to keep in mind when assisting students:
- A student’s Program of Study/Major must be accurate in ctcLink for graduation purposes. To update this information, students can submit a ticket to Student Central (Type: Evaluations and Graduation).
- Changes must be updated in ctcLink by the 10th day of each term (8th day for Summer Quarter). Changes made after this date will go into effect during the next quarter.
- Students with direct questions about unmet enrollment requirements or time conflicts need to submit a ticket to Student Central (Type: Enrollment Services/Registration).
- The ticket needs to identify the exact course and class number requested, along with the blocking error. Screenshots of the error message are helpful.
- Remind students that courses with an ampersand in the course title have common course numbering (CCN) and can be used for transfer credit at other institutions.
- These courses are listed separately on the Subject (Department) drop-down list in ctcLink. For example, when students are searching for ENGL& 101, they need to look for English [CCN] in the Subject drop-down list.
- When students are searching for a non-transferrable English course, for example ENGL 99, they need to look for English in the Subject drop-down list. The same holds true for other departments that offer courses for transfer credit.
- Faculty should contact their division staff if they require a permission number for students to enroll in a class. It is up to each departmenton how they will handle disbursement of permission numbers. The programs directory is a good source for contact numbers.
OUT-OF-OFFICE REMINDERS
It is recommended that faculty post out-of-office reminders in order to help support students who may have questions about ctcLink. A sample message is posted below:
Thank you for your email. I will be out of the office until Jan. 3, 2022.
If you need assistance with ctcLink or course enrollment, please visit the ctcLink for Students page for more information.
If that does not resolve the issue, you can also submit a ticket for support. When creating a ticket to assist you with enrolling in a class, title the ticket “Contact Enrollment Services”.
For in-person support, you have two options:
Student Virtual Support
MON –THU: 8 a.m. – 5 p.m.
FRI: 8 a.m. – 4 p.m.
Student On-Campus Support
MON – THU: 9 a.m. – 4 p.m.

- Search for an answer to your question on the ctcLink Reference Center.
- If you forgot your ctcLink ID: use the ctcLink ID lookup tool.
- Submit a ticket:
- For HR questions: choose Human Resources.
- For Finance questions (e.g., Travel and Expense vouchers): choose Finance.
- For Faculty-related general support: choose ctcLink, then Faculty: General Support.
- Click here to join the Faculty Advocate virtual support room.
- Monday: 8 a.m. – 1 p.m.
- Tuesday: 8 a.m. – 1 p.m.
- Wednesday: 1 – 4 p.m.
- Thursday: 12 – 3 p.m.
- Friday: 11 a.m. – 2 p.m.
- Additional faculty support will be provided during the following times:
- Dec. 18-19: 10 a.m. – 2 p.m. (the weekend before grades are due)
- Dec. 20: 8 a.m. – 8 p.m. (the day grades are due)
